Privacy Policy

EntryLane ("EntryLane," "we," "us," or "our") provides car-show management software for organizers and the participants attending their events. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to entrylane.app and every per-show subdomain we host on your behalf.

1. Information We Collect

We collect information in three buckets:

  • Organizer accounts. When an organizer signs up to run a show, we collect name, email, password (stored as a salted hash — never in plaintext), and the show details they enter (show name, location, date, classes).
  • Participants. When a participant registers a vehicle for a show, we collect the information the organizer has chosen to require — typically name, email, vehicle details, and an optional photo. We don't collect more than the registration form asks for.
  • Judges and co-admins. When an organizer adds a judge or co-admin to their show, we collect that person's name and email. The email is used to send a sign-in link (a one-tap magic link for judges, a set-password link for admins) — it isn't used for marketing.
  • Voters. Anonymous voter sessions are fingerprinted to prevent ballot stuffing; we do not collect identifying information from voters.
  • Website visitors. If you send us a message through the contact form on entrylane.app, we collect the name, email, and message you provide so we can reply.

2. Voting Integrity (Geofence)

To prevent off-site ballot stuffing in People's Choice voting, the voting page asks your browser for your device's approximate location once, at the moment you submit a vote. We compare it against the show's published address and accept the vote only if you're within roughly 2,000 feet of the venue. The coordinates are checked and immediately discarded — they are not written to our database, not attached to your vote, and not shared with anyone. If you decline the location prompt, your browser does not share your location with us, and the vote will not be recorded.

3. Information We Don't Collect

EntryLane is the management tool — we never touch your money. Entry fees are collected by the organizer directly (cash, Venmo, their own Square reader, etc.). We do not process payments, store payment-card data, or have visibility into how participants pay for their entries. We also don't sell, rent, or lease any user data to third parties.

4. How We Use Information

  • To operate the platform — authenticate organizers, render the show site, deliver dash cards, send blast/award emails the organizer composes, and email judges and co-admins their sign-in links.
  • To prevent abuse — rate-limiting, voter-session fingerprinting, audit logs of admin actions.
  • To compute geographic features — the Distance Traveled award and Northeast Heatmap rely on geocoding registrant addresses through Mapbox.
  • To communicate with the organizer about their account, billing, or service notices.

5. Sharing

Each show's data lives in a dedicated database project provisioned for that organizer (Supabase). Organizers do not see other organizers' shows. Within a show, participants' details are visible only to that show's admin and judges.

We share data with vendors strictly to operate the service:

  • Supabase — database hosting
  • Mapbox — geocoding + map tiles
  • Resend (or equivalent) — outgoing email
  • Caddy / Let's Encrypt — TLS certificate issuance

6. Cookies

EntryLane uses a small number of strictly-functional cookies: organizer and judge sign-in sessions, a "remember me" session on the sign-in page, a device token that locks a judge's emailed sign-in link to the phone they first open it on (for security), voter-session fingerprints, and a theme preference. We do not use third-party advertising or tracking cookies.

7. Security

Passwords are bcrypt-hashed at cost factor 12. Each tenant's service key is encrypted at rest. Subdomains are served over HTTPS only via Let's Encrypt. We rotate keys when staff turn over.

8. Your Rights

Organizers can export their show data, change their email/password, or delete their account from the admin panel at any time. Participants wishing to exercise their privacy rights should contact the organizer of the show they registered for; we will support the organizer in responding to those requests.

9. Children

EntryLane is not directed at children under 13 and we do not knowingly collect information from anyone under 13.

10. Changes

We may update this policy. We will post the new effective date at the top and, for material changes, notify organizers by email.
